Receptionist/Office Assistant
Responsibilities for Office Assistant
- Greet visitors and clients in a professional manner
- Provide visitors with information and direct them accordingly
- Answer phone calls and direct callers to the appropriate party
- Process, sort, and route incoming and outgoing mail
- Monitor and manage inventory of office supplies; order and distribute office supplies as necessary
- Coordinate and schedule appointments and meetings
- Perform other administrative support tasks, including updating and sorting files, data entry, and conducting research
Qualifications for Office Assistant
- High school diploma or general education degree (GED) required, associate’s degree preferred
- 1 year of relevant experience in an office setting, preferably in an administrative or clerical role
- Excellent organizational skills, ability to prioritize, and comfortable working independently
- Exceptional oral and written communication skills, including strong spelling, grammar, and punctuation
- Must be committed to providing outstanding customer service and demonstrate strong interpersonal skills
- Strong attention to detail
- Proficient computer skills and ability to operate general office equipment
Responsibilities for Receptionist
- Answer and direct multiple phone lines/calls in a busy environment while maintaining a polite and friendly manner
- Welcome clients in a warm and friendly manner, and answer any questions clients have
- Maintain reception area and all common areas in a clean and tidy manner at all times
- Operate standard office equipment on a regular basis, including a fax machine, a copy machine, and a computer
- Keep detailed and accurate records of visitor requests and of calls received
- Receive deliveries; sort and distribute incoming mail
- Take inventory of supplies and restock as needed
- Maintain the general office filing system
Qualifications for Receptionist
- High school diploma or general education degree (GED) required
- 1 year of relevant experience in an office environment
- Proficient in common web based systems like Google Suite, Gmail, and posses the ability and drive to learn in house operating systems
- Able to type 35 wpm minimum
- Strong phone skills
- Demonstrated ability to read, write, and speak English
- Comfortable multi-tasking and prioritizing tasks without guidance
- Excellent interpersonal skills
- Punctual with strong attendance history
