Receptionist/Office Assistant

Responsibilities for Office Assistant

  • Greet visitors and clients in a professional manner
  • Provide visitors with information and direct them accordingly
  • Answer phone calls and direct callers to the appropriate party
  • Process, sort, and route incoming and outgoing mail
  • Monitor and manage inventory of office supplies; order and distribute office supplies as necessary
  • Coordinate and schedule appointments and meetings
  • Perform other administrative support tasks, including updating and sorting files, data entry, and conducting research

Qualifications for Office Assistant

  • High school diploma or general education degree (GED) required, associate’s degree preferred
  • 1 year of relevant experience in an office setting, preferably in an administrative or clerical role
  • Excellent organizational skills, ability to prioritize, and comfortable working independently
  • Exceptional oral and written communication skills, including strong spelling, grammar, and punctuation
  • Must be committed to providing outstanding customer service and demonstrate strong interpersonal skills
  • Strong attention to detail
  • Proficient computer skills and ability to operate general office equipment

Responsibilities for Receptionist

  • Answer and direct multiple phone lines/calls in a busy environment while maintaining a polite and friendly manner
  • Welcome clients in a warm and friendly manner, and answer any questions clients have
  • Maintain reception area and all common areas in a clean and tidy manner at all times
  • Operate standard office equipment on a regular basis, including a fax machine, a copy machine, and a computer
  • Keep detailed and accurate records of visitor requests and of calls received
  • Receive deliveries; sort and distribute incoming mail
  • Take inventory of supplies and restock as needed
  • Maintain the general office filing system

Qualifications for Receptionist

  • High school diploma or general education degree (GED) required
  • 1 year of relevant experience in an office environment
  • Proficient in common web based systems like Google Suite, Gmail, and posses the ability and drive to learn in house operating systems
  • Able to type 35 wpm minimum
  • Strong phone skills
  • Demonstrated ability to read, write, and speak English
  • Comfortable multi-tasking and prioritizing tasks without guidance
  • Excellent interpersonal skills
  • Punctual with strong attendance history
